Service report emails (proof of service)
Every time a tech completes a visit, PoolHelm emails that customer a service report: what was tested, what the readings were, what chemicals went in, what got cleaned, and photos from the visit. It goes out on its own — nobody has to remember to send it.
Why this matters more than it sounds like it should. The most common complaint in pool service is “I’m not sure they even came.” A timestamped report with photos ends that conversation before it starts. It’s also the record you’ll reach for if a customer ever disputes a charge.
What’s in the report
- The date and time of the visit, and which tech was there
- Water chemistry readings against the target ranges for that pool — the same ranges your tech saw in the field, so the app and the email can never disagree about whether a reading was in range
- Chemicals added, with amounts and the reason — not prices
- Cleaning and equipment tasks completed
- Photos from the visit
- Anything the tech flagged for the customer to know about
- A one-tap referral link, so a happy customer can pass you on without you asking
It comes from you, not from us. The report is sent from your business’s address, so when a customer hits reply, their message lands in your inbox — not in a support queue somewhere, and not into a void. That’s the whole design: an unhappy customer gets to tell you the same day, while it’s still fixable.
A property with more than one body of water gets more than one record. If a customer has a pool and a spa, your tech services each one and PoolHelm keeps a separate service record for each — so the readings and chemicals for the spa never get mixed in with the pool’s.
