What happens if a payment fails

Cards expire, banks decline things, and it happens to everyone. PoolHelm’s answer is designed so that a card problem never costs you a day of work.

The sequence

  1. The charge fails. PoolHelm and Stripe both try again over the following days — most failures are temporary and clear on their own.
  2. You’re told. You’ll see it in the app and get an email. This is worth acting on quickly, and usually it’s a 30-second fix.
  3. You get a grace period. Your account keeps working normally for seven days while you sort the card out. Routes still generate, techs still work, invoices still go out.
  4. If it’s still unresolved after that, your account goes read-only. You and your team can still open PoolHelm and see everything — customers, routes, history, invoices — but you can’t make changes until the payment goes through.

Nothing is deleted. Not your customers, not your routes, not a single service record. A billing problem is a billing problem; it isn’t a reason to lose your business’s history.

To fix it: go to Billing, manage your subscription, and update the card. Access comes back as soon as the payment clears.

If the card is fine and the charge still fails, call your bank — business cards frequently block recurring software charges as suspected fraud. Then email support@poolhelm.com and we’ll look at it from our side.
