Customize your service email template

The service report goes out under your name, so it should read like you. Go to Settings → Email Templates. Five settings, in three groups, with a live preview beside them.

Message

  • Greeting — replaces the default “Hi {customer first name},” opener. Plain text only; your line breaks are kept.
  • Footer / sign-off — replaces the default closing line, “Questions? Reply to this email or contact us directly.”

Branding

  • Accent color — the color of the email’s header banner. The default is PoolHelm’s blue, #2B82CC.
  • Logo URL — your logo, shown in the banner instead of your company name. It must be a public https link to an image, not a file you upload. Point it at a logo that already lives on the open web, such as your own website. Leave it blank and your company name appears as text.

Replies

  • Reply-to address — where a customer’s reply goes. Set it to the address you actually read.

Save Changes applies your edits. Reset to Defaults puts everything back.

What you can’t change

The service data. Readings, chemicals, tasks, and photos come straight from what the tech recorded at the pool.

Check first. The live preview is an approximation, not the real email. Before you rely on a template, send yourself a real one. Add yourself as a test customer, complete a visit, and read what arrives in your inbox.

Whether reports go out at all

Service Email Enabled under Settings → Organization is the default for new customers. Override it on any individual customer from their page.

If reports land in a customer’s spam folder, have them mark one as “not spam” and add your address to their contacts. If it happens across several customers, email support@poolhelm.com.
