Roles and permissions

Three roles. Which one someone has decides what they see when they sign in.

Owner

The person who created the account. Full access to everything, including every action that touches money: managing the subscription, updating the card, restarting, and canceling. The owner’s own role can’t be changed, so an account is never left without one.

Manager

Runs the business alongside you. Customers, routes, the Planner, invoices, team, and settings are all open, and a manager shows with an Admin label on the team page.

One line a manager doesn’t cross: the money controls on the Billing page. A manager can see the subscription but can’t change or cancel it. Everything else an owner can do, a manager can do.

Technician

The field experience. A tech signs in to My Route, their Reports, and their own Account settings.

  • They can record readings, doses, tasks, notes, and photos on visits assigned to them, and skip a stop with a reason.
  • They can’t reassign work, edit customers, or change another tech’s day.

What a tech can’t see

Your money is invisible to techs. Invoices, payments, refunds, and referral rewards are readable by owners and managers only — enforced by the system itself, not just hidden in the interface. A tech can’t see what you charge, what you’ve collected, what you’ve refunded, or what a referral cost you.

Those limits hold even if someone goes around the app, and switching a person’s access off cuts them off the same way.

Operational data is different, and the honest answer is different. Customers, properties, pools, routes, and service records are readable by every role. The tech app shows a tech their own day, and that’s what they get in normal use — but treat it as a boundary on actions, not a guarantee that another tech’s route can never be seen.

Change someone’s role

Go to Settings → Team, open the person, and change their role. When someone leaves, switch their access off instead — their history stays intact, and they can’t sign in.
